Saturday 24th October 2026

10:00am-1:00pm – Setting up tents/swags

1:00-3:00pm – Dads vs. Kids games: soccer, footy, tug-of-war, dodgeball, and more!

2:00-4:00pm – Ice cream truck onsite for amazing ice cream and frozen yoghurt for anyone to purchase.

4:30-5:30pm – Magic Dale in the undercover area for a jam packed 40 minute magic show that will contain both ’stage’ and ‘close up’ magic.

5:30-6:15pm – Poynter’s resident DJ LUKE WHO? hosts a glow stick rave for all of the kids.

6:15-7:00pm – Dinner back at camp

7:00-8:30pm – PG family movie in the undercover area (BYO chair and the munchies you bought)

9:00pm – Lights out! All families in tents/swags together. We ask all dads to stay with their kids in tents.

Sunday, 25th October 2026

6:00-7:00am – No doubt an early wake-up for us all!

6:30am – Coffee Van Arrival – each Dad will have a complimentary voucher for an onsite coffee van thanks to Realmark North Coastal's Frances Goncalves and Ian Masterson

7:00-8:00am – BBQ breakfast (bacon & egg rolls – email us any dietary requirements)

8:00-9:00am – Pack down of tents/swags

9:00-10:00am – Cleanup

10:00am – Everyone to be off-site

🏕️ Camp Site Rules

1. Supervision & Duty of Care

• Parents/caregivers (or their nominated caregivers) are fully responsible for supervising their own children at all times

• No Department of Education staff are supervising

• Speak up if you see unsafe behaviour - notify the Event Coordinator

2. Approved Areas

Day: Oval, playgrounds, basketball courts, toilets, undercover (assembly) area
Night: Oval and toilets only (undercover area during the movie)

3. Cooking & Fire Safety

• No open fires

• BBQs/camp stoves must be attended by an adult at all times with children kept away from all hot surfaces

4. Night Safety

• Bring torches/headlamps

• Watch for uneven ground

• Quiet hours after lights‑out (9:00pm)

5. Tent Placement

• Do not camp under tree branches or near ant nests

• Keep emergency access routes clear

6. Vehicle Rules

• Restricted access during drop‑off/pick‑up windows

• Drive slowly and follow volunteer directions

• No parking on neighbour verges or driveways

7. Behaviour Expectations

• Unsafe, agressive or disruptive behaviour may result in a family being asked to leave

• No smoking, vaping, prohibited substances or animals on site

• All attendees may stop unsafe activity

8. Alcohol

• Alcohol discouraged

• If consumed: be responsible, stay capable, guideline of maximum four beers per adult

• Must be supervised, stored securely and disposed of safely

9. Waste & Damage

• Dispose of rubbish properly; take excess waste home

• Report any damage to the Event Coordinator

10. First Aid & Emergencies

• First Aid Officers onsite; kits and defibrillator available

• In an emergency, call 000

• Event Coordinator will meet emergency services

11. Tickets & Entry

• No ticket = no entry

• All attendees must accept Terms & Conditions during ticket purchase

12. Prohibited Items

• Glass containers

• Open flames

• Scooters/bikes

• Animals

• Smoking/vaping

Terms and Conditions

By attending the PLODs Camp Out 2026 at Poynter Primary School, I acknowledge and understand that:

1. This activity is organised and conducted by the Poynter Primary School Parents and Citizens’ (P&C) Association and is not a school‑run activity, excursion or incursion. The school will not be involved in any child or parental disagreements and is not providing any Department of Education employees for the event.

2. The P&C has appointed an Event Coordinator and volunteers for event coordination and site communication only, not for the supervision of children. I (as the parent / caregiver) or my nominated caregiver will attend this event with my children and remain responsible for the supervision, behaviour, safety and immediate care of my children at all times, including overnight.

3. If we have insufficient volunteers for the event, the event may not go ahead. We encourage all participants to help if they can.

4. The event may be cancelled or modified if there are unsafe or other unforeseen conditions.

5. In addition to myself or my nominated caregiver, only my children who are currently enrolled at Poynter Primary School will attend the event.

6. I am responsible for:

   Managing my children’s medical needs, including medications and medical action plans

   Ensuring my children wear appropriate clothing and footwear for the weather and conditions

   Ensuring my children have adequate torches or head lamps for moving around at night e.g. to the toilets

   Supervising my children around camping equipment, cooking areas, and shared facilities

   Ensuring that my children are appropriately supervised when accessing toilets and that no one will use any shower facilities

   Ensuring that I locate my tent in a safe location e.g. not under trees, not near any ant nests

   Ensuring that I remain aware of me and my families surroundings – I am empowered to stop any unsafe activities

   Ensuring my children access only approved areas (during the day these are limited to the oval, playgrounds, basketball courts, toilets, undercover (assembly) area; during the night these are limited to the oval and toilets, except for the undercover area during the movie)

   Disposing of all my waste, including taking it off site if there is no space left in the bins on site

   Ensuring any damage is reported to the Event Coordinator

7. If bringing a vehicle, then ensuring the safety of all attendees at all times and removing the vehicle from the oval when instructed to do so.

8. If I see abnormal or unsafe behaviour, I will speak up and/or seek assistance from other attendees or the Event Coordinator.

9. I will not:

   Park on any neighbouring property verge or driveway unless I have their express permission

   Build any open fires

   Leave BBQs or camp stoves unattended if they have a hot surface

   Smoke, vape or consume any prohibited substances on site

   Bring glass food or drink containers on site

   Bring any animals on site

10. Alcohol consumption is discouraged. However, if alcohol is consumed, drinking must be responsible and take into account the nature of the event, providing duty of care and the need to remain able to respond to an emergency. A practical guideline is a maximum of four beers (or equivalent) per adult for the duration of the event. I accept responsibility for ensuring any alcohol brought to the event is supervised, stored securely and disposed of safely. Irresponsible drinking may result in myself being asked to leave and/or banned from future events.

11. In the event of an emergency, I agree that emergency services (000) may be called on my behalf.

12. I agree to comply with all event rules and safety directions communicated by the Event Coordinator and volunteers for the purpose of maintaining a safe environment for all attendees.

13. If I or my children do not follow the above terms and conditions, my family may be requested to leave the event and I will comply with this request without causing harm or disruption to other attendees enjoyment. My emergency contact may also be called if this was to occur.

Not adhering to these terms and conditions may result in being prohibited from attending future P&C and PLODs events.
